01 / FROM SUPPLIER DOCUMENT TO BILL

One supplier invoice.
A complete handoff.

Scan invoices into QuickBooks Online with the source available at every review step. Follow the supported route from an unpaid supplier invoice to a Bill and its attachment.

  1. Supplier invoice: upload a supported PDF or image.
  2. Extraction: prepare the supported invoice fields.
  3. Review: correct details and confirm accounting mappings.
  4. Approval: resolve required fields and duplicate warnings.
  5. QuickBooks Online Bill: sync to the intended company.
  6. Original attachment: check the file is linked to that Bill.

A supplier Bill records what your business owes. A customer sales Invoice records what a customer owes you. This workflow creates Bills.

02 / SUPPORTED ACCOUNTING MAPPINGS

Prepared details.
Your accounting choices.

Invoice capture software for QuickBooks Online prepares the draft. Confirm these mappings against the connected company before sync.

Supplier
Choose a synced QuickBooks vendor for the Bill.
Reference & dates
Review the invoice number, invoice date, and due date.
Expense lines
Confirm each supported line’s description, amount, and expense account, or use the reviewed total with an expense account.
Supporting notes
Review the memo and keep the source document with the resulting Bill.

The supported handoff uses account-based expense lines. Check tax amounts and totals during review; extracting a line does not assign an inventory item or a QuickBooks tax code.

REVIEW BEFORE SYNC

Prepared by OCR.
Confirmed by you.

Use an invoice scanner for QuickBooks Online to prepare the document, then make the accounting decisions. Required review fields must be complete before approval, and a new sync starts only from an approved document.

01

Correct the extracted details.

Compare the supplier, reference, dates, line items, tax shown, and total against the original. Correct misread or missing values before approval.

02

Confirm the accounting choices.

Confirm the connected company, Bill record type, synced vendor, and expense accounts. Check line amounts, tax shown, and the total against the supplier invoice.

03

Resolve possible duplicates.

Compare flagged documents before approval. An exact match requires an override reason to proceed. These checks compare documents in ScannerPilot; also check whether the purchase is already in QuickBooks.

“Can I see the invoice?”
THE ORIGINAL IS PART OF THE RESULT

The record and
the original, together.

After creating the Bill, ScannerPilot uploads the source PDF or image as an attachment linked to that record. Confirm both outcomes so the original supplier invoice is available when someone needs to check the entry.

Retry the attachment without recreating the record.

Record creation and file attachment have separate statuses. If the entry succeeds but the file upload fails, retry the attachment against the existing transaction.

Clear answers.
Less guesswork.

Ask a specific question
How do I scan invoices into QuickBooks Online?

Upload a supplier PDF or a clear invoice image to ScannerPilot. Review the captured details beside the source, choose the synced QuickBooks vendor and expense accounts, and check possible duplicates. Approve the unpaid supplier invoice, then sync it as a QuickBooks Online Bill. Confirm both the created Bill and its original attachment.

Can I import PDF invoices into QuickBooks?

Yes. Upload the supplier PDF directly, check the prepared fields, and approve the supported Bill before syncing to QuickBooks Online. Invoice capture software for QuickBooks turns the source into a draft to review; uploading a file alone does not approve or post an accounting record.

What should I check in bill capture software for QuickBooks Online?

Check the supplier mapping, invoice reference and dates, expense-account lines, approval controls, and attachment status. ScannerPilot sends reviewed line descriptions and amounts to the selected expense accounts. Confirm that this supported Bill workflow fits your company’s accounting requirements before starting a batch.

Is a supplier invoice the same as a QuickBooks sales Invoice?

No. A supplier invoice is a document your business receives for a purchase. When payment is still owed, this workflow creates a QuickBooks Bill. A customer sales Invoice records a sale by your business; ScannerPilot’s supplier-invoice workflow does not create that record type.

What does approval check before sync?

Required review fields must be completed before approval. Exact document matches require an override reason to proceed. Only approved documents can begin a new QuickBooks sync. Review the original, vendor, expense accounts, and intended company before approving; ScannerPilot’s duplicate checks do not replace checking entries already in QuickBooks.

Does QuickBooks already offer document capture?

Yes. QuickBooks Online includes native receipt upload, extraction, review, and adding or matching a transaction. ScannerPilot provides a separate supplier-document review queue with possible duplicate checks, approval before sync, and separate record and attachment outcomes. Choose based on how your team needs to review and approve incoming documents.

What happens if the original attachment fails?

Bill creation and attachment handling have separate outcomes. If the Bill exists but the source upload fails, retry the attachment against the existing transaction. Check the final attachment status instead of creating another Bill.

Can I use this invoice scanning software for QuickBooks with several clients?

Yes. Use the intended client queue and its own QuickBooks Online company connection. Confirm the company before approving and sending a document. This page covers QuickBooks Online; it does not describe QuickBooks Desktop support.

Does this walkthrough upload files or change my books?

No. It uses fictional invoices and runs locally on this page. No real document is uploaded, no text is extracted from your files, and no accounting record is created.
